The best dental clinic software for an Indian clinic is the one your whole team will actually use every day. It should cover records, scheduling and billing with UPI, work with WhatsApp and the languages your patients speak, keep your data private and portable, and be quick to learn. Use the 12 checks below to compare any option — including Odontra.
Start with what you are replacing
Most clinics are replacing a mix of a paper or spreadsheet register, a billing tool, a reminder routine on someone’s personal phone and a front desk that is stretched thin. Write down the five things that cost you the most time each week. A good system should make those five things disappear — not add new screens for the sake of it.
The 12-point checklist
| # | Check | What good looks like |
|---|---|---|
| 1 | Patient records | Allergies and medical alerts shown before treatment; history, imaging and consent on one record. |
| 2 | Scheduling | Chair-wise calendar, clash warnings, holidays and closures, and online booking that waits for your approval. |
| 3 | Treatment planning | Tooth-wise plans (FDI notation), your own price list and a plan you can print or send as a PDF. |
| 4 | Prescriptions | A drug library, templates, and warnings for allergies and drug clashes before you save or print. |
| 5 | Billing | Part-payments, a clear balance for every patient, and UPI links or QR codes. |
| 6 | Reminders, recalls and documents sent from the clinic’s own number, with an off switch for each message type. | |
| 7 | Languages | Patient-facing screens and messages in the languages your patients use — for example English, Hindi and Gujarati. |
| 8 | Patient app | Patients can register, book and view bills without installing anything, under your clinic’s name. |
| 9 | AI, kept in bounds | AI that drafts and answers routine questions, but never decides treatment, quotes prices or gives medical advice. |
| 10 | Roles and audit trail | Personal logins, permissions per role, and a record of who changed or deleted what. |
| 11 | Data ownership | Daily restore points, a full export in open formats, and no data shared with other clinics. |
| 12 | Onboarding and support | Patient-list import, hands-on training and a named support channel with published hours. |
Questions to ask every vendor
- Can I export every patient, bill and appointment today, in a format I can open without your software?
- Where is my clinic’s data stored, and is it kept separate from other clinics?
- What happens to my data if I stop using the product?
- Which automatic messages are sent, to whom, and can I switch each one off?
- What does the AI do — and what is it explicitly not allowed to do?
- Who do I contact when something breaks, and during which hours?
Red flags
- No export. If you cannot take your data with you, you are renting your own records.
- AI that decides. Software that proposes treatments or prices to patients on its own is a liability for the doctor.
- One setup for every clinic. Your name, logo, chairs and price list should be yours.
- Bulk promotions by default. Messages to patients should respect consent and clinic hours.
How Odontra approaches these checks
Odontra is built around the same list: a platform covering records to reports, WhatsApp automation and an AI front desk that stays in its lane, a patient app under your clinic’s name, and security that keeps each clinic’s data separate and recoverable. You can book a demo and test it against this checklist with your own chairs and treatments.
